PRIMIS Toolbox Release Notes – January

As we continue to welcome all our new firms, brokers and PRIMIS colleagues, we also strive to continue bringing you the solutions that we are confident that our growing network will benefit from. With help from your feedback, we have been able to evolve one of our most essential broker tools – our CRM service Toolbox, with an ongoing cycle of development that adapts to meet your needs. Learn all about our upcoming changes and tweaks here to find out what you can experience the next time you log in to Toolbox.

What is Toolbox?

For those of you who aren’t aware, Toolbox is an exclusively developed CRM system we offer to our network of brokers and advisers here at PRIMIS. As an all-in-one CRM solution, Toolbox delivers a lot in terms of functionality with the overall goal of the system being to facilitate successful outcomes and reduce the amount of time spent on the admin side of cases. While this is the driving force behind Toolbox’s inception and continued refined, the system is also capable of the following:

  • Increasing advice efficiencies
  • Driving lead generation, sales and quality
  • Offering high-level security and compliance
  • Facilitating seamless integration to sourcing systems
  • Continuously evolving to meet brokers’ needs

What are the Latest Updates to Toolbox?

Consumer Duty Changes

In line with Consumer Duty and Broker feedback, we have made some further enhancements to the Fact Find sections. Within this release we have made changes to the following sections:

  • Personal Details > Occupation/Secondary Occupation – Self Employed
  • Personal Details > Self Employed/Secondary Self-Employed – Income Details
  • Main Details > Occupation Status
  • Protection Fact Find

Personal Details > Occupation Details / Secondary Occupation Details > Self Employed

Following feedback, we have now amended the ‘Occupations Status’ to first show the following occupations:

  • Employed
  • Self Employed
  • Retired
  • Unemployed
  • Temporary Employed/Employed on a Contract
  • House Person
New occupation options shown within the Occupation Status in Toolbox

When Self Employed is selected you will now see a further box ‘Self Employed Type’ with the following 4 options to select:

  • Director (20% shareholding+)
  • Director (less than 20% shareholding)
  • Sole Trader
  • Partnership

Director (20% shareholding+) prior to the change was under ‘Occupations Status’ therefore, for historical data, it will automatically show Self Employed > Director (20% shareholding +) and will remain in Toolbox to show the Self Employed Details page and Self Employed Income Details page in the left hand menu.

Director (less than 20% shareholding) prior to the change, was also under ‘Occupation Status’ therefore for historical data it will automatically show Self Employed > Director (less 20% shareholding) and will remain in Toolbox to show further details on Occupation Details page.

Sole Trader is a new option.  Prior to the change however, for historical data, it shows the data completed if ‘Self Employed’ was previously selected. This will remain to show you the Self Employed Details page and Self Employed Income Details page.

Partnership is a new option with no historical data mapped. The same changes can also be seen for Secondary Occupation Details

Following feedback, we have amended the Self Employed Income Details page to show the following:

  • If ‘Director 20% shareholding +)’ has been selected as the Self Employed Type and ‘Yes’ answered to ‘Are you a limited company director ’If ‘Director 20% shareholding +)’ has been selected as the Self Employed Type and ‘Yes’ answered to ‘Are you a limited company director’

Note: If on the Self Employed Details page you have answered 2 or less to the question ‘How many years accounts do you have?’ you will not see:

  • Annual Net Profit 3 years ago
  • Dividends 3 years ago
  • PAYE Salary 3 years ago

Note: If on the Self Employed Details page you have answered 2 or less to the question ‘How many years accounts do you have?’ you will not see Annual Net profit 3 years ago.

Similar changes have been made for Secondary Self Employed Income Details page.

Main Details > Occupation Status > Self Employed

We have also amended the options for ‘Occupations Status’ selected under Main Details when creating and new client and will show the new ‘Self Employed Type’ options if Self Employed selected.  This will continue to map and match the changes within the Fact Find.

Protection Fact Find

This section has been altered and now shows the following sections within the page:

  • Existing cover and liabilities
  • Establish your Protection Needs
  • Establishing your Protection Needs – Mortgage Protection
  • Establishing your Protection Needs – Family Protection
  • Establishing your Protection Needs – Critical Illness Cover
  • Establishing your Protection Needs – Income Protection
  • Identifying the Deferred Period – Income Protection
  • Establishing your Protection Needs – Life Cover to help cover funeral costs.
  • Additional Benefits / Add-Ons to be Included.
  • Establishing a Budget

All sections are collapsible. Existing cover and liabilities and Establishing a Budget shows the same details as it did before.  Below are screenshots of the other sections that have been changed.

PLEASE NOTE: For any Protection Fact Finds completed prior to this change please ensure that you have saved the pdf of the fact find within your customer’s protection compliance summary.  Historical data mapped is unfortunately at a bare minimum due to the changes requested.    

 
 

Establishing your Protection needs

This section just consists of simple check boxes.  If you and your customer(s) use Connect portal then the 5 questions asked and answered under Protection section, will map across to this section checking the boxes if the customer states they are important. 

Establishing your Protection needs – Mortgage Protection

When answering ‘Yes’ to ‘Has a Mortgage need been identified?’ you will see a ‘Add Mortgage Need’ button appear and some read wording alongside ‘Please select this button to include each Mortgage Protection Need separately’. When ‘Add Mortgage Need’ is selected you will then see the following questions to complete, and the ‘Add Mortgage Need’ button now changes to read ‘Add another Mortgage Need’.

Establishing your Protection needs – Family Protection

When answering ‘Yes’ to ‘Has a Family Protection need been identified?’ you will see a ‘Add Family Need’ button appear and some wording alongside ‘Please select this button to include each Family Protection Need separately’. When ‘Add Family Need’ is selected you will then see the following questions to complete, and the ‘Add Family Need’ button now changes to read ‘Add another Family Need’.

Establishing your Protection needs – Critical Illness Cover

When answering ‘Yes’ to ‘Has a critical illness need been identified?’ you will see a ‘Add CIC Need’ button appear and some wording alongside ‘Please select this button to include each Critical Illness Need separately’. When ‘Add CIC Need’ is selected you will then see the following questions to complete, and the ‘Add CIC Need’ button now changes to read ‘Add another CIC Need’.

Establishing your Protection needs – Income Protection Cover

When answering ‘Yes’ to ‘Is it important to maintain your current lifestyle if ill and unable to work?’ further questions will open and display in this section.  You will also see another section appear ‘Identifying the Deferred Period – Income Protection’ which will need completing.

Establishing your Protection needs – Life Cover to help cover funeral costs

When answering ‘Yes’ to ‘Has a need been identified to help cover funeral costs?’ further questions will open and display in this section. 

Additional Benefits / Add-Ons to be Included

This section will be displayed automatically with the 5 additional benefits allowing you to document the full picture of your customers needs and objectives shaping your final recommendation.

Source Quote Issue – Empty Response

Following investigation, it became evident that in circumstances where we received an empty response from a Source provider quote, Toolbox was not outputting an error message.  We have included an appropriate response which should help to avoid confusion over the nature of declined quotes in future.

Toolbox > My Account > Change Password

Following feedback, we have amended the logic for the Change Password page assessed once logged into Toolbox via My Account > Change Password.  Users can now set a new Memorable Phrase or Security Answer and Memorable Phase without the need to update/reset their password.
